In the Office or in the Field, Collaborate Makes Life Easier for Victim Services
The Otoe-Missouria Tribe’s Ugisą Chi Program provides comprehensive services to individuals and families affected by violence in the Red Rock, Oklahoma area.
Before adopting Collaborate, the office struggled with paper-based processes to track cases and deliver funder reports.
Technology Supporting Growth
Program Director Samantha (Sam) Moran began as a team of one, but has overseen significant expansion in recent years. “We’re a team of five now,” she says. “We got several new grants, so we were able to add a Sexual Assault program, and we’re taking over a general Victims of Crime program too, which will involve another two staff members.”
“Collaborate allows us to manage an unlimited number of programs, which is instrumental to support our growth. It also makes it easy to manage and report on all of our grants, which were previously handled manually,” she adds.
As new staff are brought on, getting them acclimated to a new case management system has been a smooth process. “Everybody’s been doing really well with Collaborate,” according to Sam. “I shadowed one of our newer staff members as she completed an intake recently, and she got the hang of it quickly.”

“It’s also helpful being able to tell when the last staff member accessed a client’s account, instead of having to go through each paper file and hope that they put in a note,” Sam observes. “Now I don’t have to worry about it.”
Beyond Case Management
Sam’s team is taking full advantage of some of Collaborate’s additional productivity features as well. “We’re using the Calendar to schedule our team meetings, and send reminders to staff about them. It’s definitely helping us stay more organized,” she reports.
Save Time, Reduce No-Shows
In the past year, Collaborate users have sent 18,973 SMS (text message) reminders to Clients and Staff to help ensure they show up, on time, to appointments.
They’re using Activities to track their events, like speaking engagements in schools.
“I also love the Weekly Overview Report,” Sam explains. “Now I can show my funding agency and the tribe the progress we’ve made each week with our application.”
Serving Clients on the Go
Across an expansive rural area, Sam and her team often assist clients outside the office - and Collaborate is along for the ride. “I’m a lot less stressed, since we can pull out our iPad at any given time and do a full intake,” Sam reveals.

A Transformation Worth Sharing
Her department’s progress has inspired Sam to spread the word to her peers. “I’ve recommended Collaborate to other programs within the tribe, and to several other tribes as well,” she says. “It’s been awesome. In fact, the Office of Violence Against Women (OVW) people were asking about Collaborate, they want me to do a presentation on it at an upcoming conference.”
